"Username" at login screen should be two words O'Neill 7/21 Done
On the registration search screen, the "U.S. Citizen" field description needs a non-required field indicator O'Neill 7/21 Done
Don't allow duplicate SSNs O'Neill, Hobbs 7/21, 7/29 Done
After performing a "Search (View Only)," AOs should not be allowed to see "Personal" and "Home" information for people outside of their IC Pearman, Hobbs, Robertson 7/21 Done
Changing the initial AO/AT password ("password") should be REQUIRED; it was decided by the DSC that this was unnecessary since ITAS will be used Pearman 7/21 Done
Change "Search (View Only)" to something else because it's confusing (e.g. "Quick View") O'Neill 7/21 To be discussed
Must be able to see the entire "Main Menu," including the "you have pending requests to review" message at 800x600 display resolution O'Neill 7/21 To be discussed
Be consistent with email messages (e.g., changed from "X" to "Y") Burns 7/21 Pending
Required fields on the "Personal" and "Work" Information update forms should be marked with the "red ball" Burns, Hobbs 7/21 Pending
Be consistent with fonts (e.g., the "Delivery, Postal, and Home Address" fonts are different from others on the update forms) Hobbs, Roark 7/21 Pending
Should be able to edit from the "Update Confirmation" screen Hobbs 7/21 To be discussed
During an update, change the "update" button at the bottom of the screen to "Verify" and take the user directly to the detailed information screens for verification (bypass the "verification checkbox" screen) Hobbs 7/21 To be discussed
Use a different color font for field names Hobbs 7/21 To be discussed
Don't allow registration search information to be changed during the registration process (registration must be aborted and restarted if a mistake is made) Hobbs 7/21 Done
Eliminate some of the information from the "Search (View Only)" Work Information screen (e.g., directory status, EOD, End Date, Record Type, Contractor); It was decided by the DSC that this is OK for AOs and ATs to see, but will be limited for general users and the public Hobbs 7/21 Done
Change "GS Codes" to "Occupational Codes" on the "Occupation" lookup list; also, sort numerically (Roark); change "GS Codes" to "Series Codes" (Robertson) Roark, Robertson 7/21 To be discussed
During the "change password" process, why require typing in "User Name8?" Roark 7/21
Populate EOD attribute from the HRDB Roark 7/21 Pending
Make it easier to exit the "Change Log" (e.g., a "Back to Administration" button) Roark, Robertson 7/21 Pending
Validate the date format when entering a deactivation date Roark 7/21 Done
Don't include inactive SACs in the SAC lookup table Pearman 7/22 Pending
Should EOD be changed to "effective date" to reflect the date the current directory status was assigned? Bodine 7/26 To be discussed
Create hyperlinks on the "missing required fields" screen so that the user is taken back to the appropriate form Multiple ?? 7/21 Done
Should a person be automatically deleted from the AO/AT list when their directory status changes from active and/or their record type to something other than NIH FTE? Bodine 7/26 To be discussed
It might not be possible to require "City of Birth" for NIH FTEs Price 7/26 To be discussed
Make the screen containing the "Register New" option more understandable Price 7/26 To be discussed
Update Search: Last Name or SSN or NIH ID is required Gorlen 7/29 Done
Registration: if a State of Birth is selected, then Country of Birth is automatically filled with U.S. Graham, Hobbs 7/28, 8/2 Pending
Update Search: UID check digit is not validated Gorlen 7/29 Pending
Registration Search: No field provided for middle name/initial or generation qualifier Gorlen 7/29 Pending
Registration Search: Alias name format not compatible with database? Gorlen 7/29 Pending
Update Search: No field provided for middle name/initial or generation qualifier Gorlen 7/29 Pending
Some information in an entry should not be changeable (e.g., SSN and name); these could be validated against an authoritative source (such as HRDB for FTEs) and upon validation, they couldn't be changed Hobbs 7/29 To be discussed
The registration search is too complicated--why require different fields depending on the "record type" of the individual being registered? Hobbs 7/29 To be discussed
Why do the various "search" tools (e.g., Registration Search, Update Search, and Search (View Only)) operate differently and return different results? For example:
REGISTRATION SEARCH requires precise data (i.e., search attributes must be exact representation of what’s contained in database to get a match). Poor search tool because results returned have high probably of error. For example, Ted George (NIAAA) can’t be found in the database, yet record has already exists for him. This is because he must be searched for as David George (his legal name) even though he’s commonly known as Ted and even introduces himself as TED! Another example: ‘Tom Bodine’ cannot be found using this search tool, however, two different ‘Thomas Bodine’ records are in the database!
UPDATE SEARCH is good because there are no required ‘Attributes’ that must be searched. Search results show individuals within the AO/ATs IC as well as those in other ICs. This would be an important search to perform before creating a new registration because an individual new to an IC may not be new to the NIH.
SEARCH (View Only) appears to be the best search option in this database because it offers the most flexibility and accuracy. For example, if the Search Value = LAST NAME, the search can be performed using the full last name, the 1st letter of the last name, or a partial spelling of the last name (e.g., paulson, p, or paul—search example below) and feel fairly confident that the data returned is a complete and accurate representation of records currently in the database. This search tool should be expanded to allow Registration and record Update capability.

Hobbs 7/29 To be discussed Should be able to search on a SAC, so an IC could develop an internal hard copy phone directory and/or organizational staffing chart. Hobbs 7/29 To be discussed Reorganize the "Administration Menu" screen to make it more easily readable Graham, Robertson 7/28 Done Using Netscape, the "Modify AO" drop down SAC list is flakey Graham 7/28 Pending Eliminate borders that appear on some buttons (be consistent throughout w/o borders) Graham 7/28 Done For date fields, automatically insert leading zeros for months and days if not typed in by the user (e.g. if the user types in 1/1/1999, the system automatically changes it to 01/01/1999). Graham 7/28 To be discussed Have the system automatically fill the first three characters of the SAC (e.g., NHX) Graham 7/28 To be discussed System must be able to accommodate de-registrations where the individual maintains the use of some NIH services (e.g., an email account) Robertson 7/28 To be discussed Popup calendar: typed in 07 and then clicked the calendar and the year was 1997 Robertson 7/28 To be discussed Add "Contractor" to the contractor phone field description Robertson 7/28 Pending Email notification when an AO/AT is created or modified Robertson 7/28 To be discussed The AT should be able to CHOOSE the AO to whom an action should be sent. I initially set up three AO’s in NCRR (Ingram, Kulp, Pearman), all of whom got HNR (global) access. When the AT submitted an update, it went to the first AO alphabetically (Ingram). The correct AO in this case would have been Kulp or Pearman. Installing a "send request to" list would solve this problem. Pearman 7/30 To be discussed When preparing updates and new registrations, we could not complete the action without filling in DOB, salutation, city, state and country of birth. I found this annoying, because I don’t really care about at least the last 3. To be able to complete the transaction, we made up data, which we don’t want to encourage users to do. I think the subcommittee should reconsider what is mandatory data. Pearman 7/30 To be discussed The Super User (Pearman) should be able to view the change log for all AT’s and AO’s, as a quality review and performance issue. Right now, I can only look at changes that I made. It would also be helpful to see a total list of requests awaiting action. That would be a tool for a Super User to see who is/is not keeping up with the system. Pearman 7/30 To be discussed Since it will be easier to make work information changes in NED rather than through other mechanisms, there is a real danger that people will make their directory changes in NED but not through the proper channels. Is there any way that we can speed up the linkage between the NIH Telephone Directory and NED? Pearman 7/30 To be discussed The system is very easy to use so far. I would like to see how the current info will tie in with CIT accounts, since keeping those clean is one of the main reasons for setting up the system. Pearman 7/30 To be discussed Shouldn't be able to use a single initial as First or Last name--at least it should be questioned. Hobbs 8/2 To be discussed Shouldn't be able to use current date as a DOB. Hobbs 8/2 To be discussed State of Birth does not show up on the 'Update-Personal Information' screen even though it was required on initial registration nor does it show on the verification or Search (view only) screens Hobbs 8/2 Pending When entering an "unofficial" SAC (i.e., one that doesn't appear in the HRDB) a user should be able to type in an "unofficial" Org. Unit as well Hobbs 8/4 Pending The directory web pilot application will need Privacy Act and Security notices added to the Login page. See https://itas.nih.gov/Scripts/SaISAPI.dll/itasweb.class for an example.

I believe we can simply copy the Security Notice, but we'll need to obtain the wording for the Privacy Act notice for clearance #09-25-0156 from Tim Wheeles. Gorlen 8/4 Pending Remove the following attributes from the View Only "Work Information" screen for general users: Directory Status, Contractor Affiliation/Phone, EOD DSC 8/3 Pending Limit directory status to "Active" during a registration Malick 8/4 Pending Remove the "Change Status" button from Registration Search Results DSC 8/3 Done Change the "Update" button to "Activate" on the Registration Search Results DSC 8/3 Done
