Comments: New features & bug fixes for v1.5
The following changes have been incorporated in the new release:
Register/Activate
Worker classification can be changed prior to the creation of a new record.
Only active AOs are displayed in the selection list when ATs when are submitting requests.
An entry cannot be activated if there’s a pending request for that person.
Room numbers are now validated for many buildings.
Lower case letters entered in the room number field are automatically converted to upper case. The total number of characters, alpha or numeric, is limited to eight.
A TTY field has been added to the Work Information form.
Fixed bug where status date was incorrectly shown as EOD on a retroactive registration.
Added an “E-mail Forwarding” option to the Services tab.
A person cannot be registered or activated if a pending request already exists for this person.
The following message is displayed next to the mail stop field on the Work Information form: For buildings without mail stops, use “0000”.
The default personal title (e.g., Mr, Ms, Dr) on the Personal Information form has been changed from “Not Applicable” to “Choose Title”.
The default for gender on the Personal Information form has been changed from “Unknown” to “Choose Gender”.
“Other Names” are automatically converted to the NED standard name format (uppercase initial caps and all others lower case with exceptions for certain names such as McDonald) when written to the database.
Fixed a bug whereby an EOD that was modified as part of the verification process wasn’t being carried over to the “Effective Date.”
Fixed a bug that in certain cases allowed the creation of a duplicate entry even though an existing SSN was used during the registration search.
EOD is deleted when inactive entries are activated.
Home mailing address is validated to accept no more than six lines with a maximum of 30 characters per line. Also, addresses are automatically converted to NED standard address format (all upper case with extraneous punctuation removed).
Leading and trailing spaces are stripped when writing preferred names to the database.
“FCRDC” and “NNMC” have been removed from the buildings drop down list (specific buildings within each site must be selected).
The “Occupation Code” field has been eliminated.
The name of the person being registered or activated appears at the top of each form (i.e., Services, Personal, Work, and Home).
Increased the point size of the font when adding emergency contacts using Netscape.
Update
An entry cannot be updated if there’s a pending request for that person.
Only active AOs are displayed in the selection list when ATs when are submitting update requests.
While transparent to users at the time of this release, code has been added to prevent updates to attributes that are “mastered” from HRDB, FPS, FPSII, and JEFIC (e.g., legal name, SSN, date of birth). More on this later.

The database now captures the date when a person’s SAC or classification changes.
“No information was updated” is displayed on the Confirmation screen when an AO submits an update that contains no changed information.

Change of Status
Directory status cannot be changed if there’s a pending request for a person.
Only active AOs are displayed in the selection list when ATs when are submitting change of status requests.
AOs/ATs cannot be transferred if they have pending or returned requests.
AOs/ATs cannot be suspended if they have pending or returned requests.
AO/AT status is automatically removed upon deactivation.
During a transfer, a person’s AO or AT privileges in the losing IC are automatically removed when they’re activated in the gaining IC.
Search (View Only)
NIH IDs are now displayed to the right of a person’s name on the Personal and Home Information forms in addition to the Work Information form.
“Preferred” e-mail address (e.g., jsmith@mail.nih.gov) is displayed on search results screens instead of e-mail alias (e.g., js123@nih.gov).
Review Requests
ATs are now able delete requests that have been returned by AOs.
Text wrapping has been added to the “Return to AT” comments box.
A confirmation message is now displayed following an “Approve All’ operation.
Administration
AOs/ATs cannot be deleted if they have pending or returned requests.
AO/AT SAC coverage cannot be deleted if the AO/AT has pending or returned requests.
A “batch update” function has been added providing the ability to update the following attributes simultaneously for multiple entries: building, room, mail stop, delivery address, postal address, and SAC. (Note: Batch update is only available to AOs.)
Reports
The reports popup menu no longer disappears when the cursor moves away.
User Defined:
E-mail address of the AO/AT running the report is automatically entered as the default mailing address for Excel and Word formatted reports.
IC is automatically selected based on the affiliation of the AO/AT running the report.
TTY has been added as a selectable attribute.
Change Log:
Reports can now be generated based on NIH ID and request status as well as date. NICs also have the option of selecting entries pertaining to a specific AO or AT.
The term “Approving AO” has been replaced by “Approved By” to reflect the fact that the approver might not be an AO (i.e., in the case where updates are submitted via public interface self-service).
View All Requests:
Entries are sorted by AO last name then by date submitted.
The page banner has been changed from “Outstanding Requests” to “View All Requests”.
View SAC Coverage:
Entries’ directory status is now displayed instead of phone number.
An
option has been added making it possible to exclude subordinate SACs.
Miscellaneous
A popup menu has been added to the “Help” button with options for the User’s Guide and a FAQ (Frequently Asked Questions) document.
Changed the text of e-mail notifications sent to AOs when scheduled actions execute to make messages more understandable.
E-mail notifications are now sent from ned@mail.nih.gov instead of a dummy account. Thus, if recipients reply to notifications, responses are sent to members of the NED project team.
Greatly expanded error handling alerts
users if a problem was encountered during processing and sends e-mail to
the NED development team with troubleshooting information.
